Our services include AI-driven solutions such as AI Marketing, AI Recruiter, AI Sales Rep, and AI HR Expert, aimed at helping businesses streamline operations and enhance efficiency.

StrategyBrain Technology Ltd. operates the website at www.strategybrain.ca and related product sites and services. This Privacy Policy explains how we collect, use, disclose, store, and protect information about website visitors, users of our products, clients, prospective clients, and individuals whose information may be processed by our products. StrategyBrain provides artificial intelligence products and services that include AI Recruiter, AI Sales Rep, AI HR Expert, AI Marketing, and a customer support chat that is provided by the third party vendor Tawk. When we process personal information on behalf of a client in order to deliver our services, we act as a processor or service provider and our Data Processing Addendum applies. When we process personal information for our own business purposes, we act as a controller.

Except as described in this Privacy Policy, we use personal information only for the purposes that we describe and only when permitted by applicable law. We do not sell contact lists and we do not sell personal information as that term is defined under applicable privacy laws.

1. Information we collect

Two broad categories of information may be collected through our websites, products, and services.
Personal Information is information that identifies an individual or that relates to an identifiable individual. Examples include name, email address, phone number, billing address, account credentials, payment information, IP address when linked with other identifiers, LinkedIn profile URL, and professional background information.
Non Personal Information is information that does not identify an individual and cannot reasonably be linked to an identifiable individual. Examples include de identified analytics and aggregated statistics. This Privacy Policy focuses on Personal Information. Our use of Non Personal Information is not restricted by law and is used to improve and secure our services.

We collect Personal Information in the following ways.

  1. Information you provide directly. You may provide your name, email address, phone number, company, role, billing details, and any other information you choose to share when you register, subscribe, request a demo, contact support, sign a contract, or use interactive features such as Tawk chat.

  2. Information collected from LinkedIn with authorization. Clients of AI Recruiter and AI Sales Rep may enter LinkedIn profile URLs for leads or candidates. With the client’s authorization, our products retrieve publicly available information from those profiles and may access additional profile data through the client’s LinkedIn account permissions where permitted by law and by the LinkedIn platform terms. The information may include name, current and prior roles, education, skills, and other profile fields.

  3. Information generated through product use. Our products can generate and store AI conversation content, prompts, outputs, message logs, usage logs, and preferences.

  4. Information from cookies, pixels, and similar technologies. We use cookies and tracking pixels to collect device data, IP address, browser type, operating system, referring URLs, pages viewed, time on site, and interactions.

  5. Information from marketing and prospecting partners. We may receive business contact information and interest signals from advertising platforms and analytics partners in order to help us market our services in a more relevant way.

2. Cookies and online tracking

We use cookies and similar technologies to operate and improve the websites, to understand usage, and to personalize and measure marketing. We use Google AdSense for advertising. We also use Google Analytics, Facebook Pixel, LinkedIn Insight Tag, and YouTube related technologies in connection with our social media marketing on LinkedIn, X formerly Twitter, Facebook, and YouTube. You can control cookies through your browser settings. If you disable cookies, some features may not function.

Advertising platforms may use cookies or device identifiers to serve ads and to measure performance. You can learn more about interest based advertising and opt out choices through your browser settings and through platform settings provided by Google, Meta, LinkedIn, and other providers. Your choices are browser and device specific.

3. How we use Personal Information

We use Personal Information for the purposes described below.

  1. Account creation and administration. We use contact details and credentials to create and manage accounts, authenticate users, provide support, and communicate about the services.

  2. Service delivery. We process data in order to provide AI Recruiter, AI Sales Rep, AI HR Expert, AI Marketing, and related features. This includes retrieving authorized LinkedIn profile information, generating AI content, storing conversation logs, and enabling client configured workflows.

  3. Product improvement and safety. We analyze usage, logs, and feedback to maintain performance, prevent abuse, detect fraud, and improve quality.

  4. Marketing and communications. We send product updates, event information, and marketing messages in accordance with your communication preferences and applicable law. We measure campaign effectiveness across Google AdSense, LinkedIn, X, Facebook, and YouTube. You may opt out of marketing emails at any time by using the unsubscribe link or by contacting us.

  5. Legal compliance. We use Personal Information as required to comply with law, enforce agreements, and protect our rights, users, clients, and the public.

4. AI generation and model training

Our products generate content using AI models. When you use the products, we may use inputs such as names, LinkedIn profile URLs, professional background data, prompts, and conversation logs to produce outputs for your recruiting and sales workflows. We retain conversation logs for your account until you delete the information or close your account, subject to any legal retention requirements.

We may use de identified data and content to train, fine tune, and evaluate our models and to improve our products. Where applicable law requires consent or provides a right to object, we will rely on consent or legitimate interests as permitted and we will honor your rights. If you do not want your content to be used for model training, you can contact us and request an opt out. Opting out does not affect the use of your data to provide the services you request.

5. Legal bases for processing

When Canadian law applies, we collect, use, and disclose Personal Information with consent or as otherwise permitted or required by law. When United Kingdom or European Union law applies, we rely on several legal bases. These may include performance of a contract, legitimate interests that are not overridden by your interests or rights, compliance with legal obligations, and consent where required. When California law applies, our use of Personal Information is described in the section for California residents.

6. Disclosures of Personal Information

We share Personal Information in the situations below.

  1. Service providers. We engage vendors that provide hosting, cloud infrastructure, security, support, communications, payments, analytics, advertising, and other services. Our primary hosting is in Canada with HostPapa and we also use Amazon Web Services. Vendors may access Personal Information only to provide services to us and must protect it as required by contract.

  2. Social media and advertising platforms. When we run campaigns or install platform tags, the platforms may collect or receive information from our properties. The use of that information by the platform is subject to the platform privacy policies.

  3. Client directed disclosures. Clients may configure integrations or export data to tools that they control. In those cases, the client determines the recipients.

  4. Legal and safety. We may disclose information to comply with law, legal process, or lawful requests by authorities, and to protect the rights, property, safety, or security of StrategyBrain, our clients, users, or others.

  5. Business transactions. If StrategyBrain is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, Personal Information may be transferred to the relevant participants. The recipient will continue to use the information in accordance with this Privacy Policy.

We do not sell Personal Information.

7. International transfers

We are based in Canada. We may process and store Personal Information in Canada and in other countries where we or our service providers operate. This may include the United States and other jurisdictions. Local laws in those jurisdictions may permit government and law enforcement access to information. We implement contractual and organizational measures to protect Personal Information when it is transferred across borders, including agreements that reflect applicable standard contractual clauses when required.

8. Security

We use administrative, technical, and physical safeguards that are designed to protect Personal Information against loss, theft, misuse, unauthorized access, disclosure, alteration, and destruction. We limit access to Personal Information to personnel who need it for their role. No system can be guaranteed to be perfectly secure. You are responsible for keeping your account credentials confidential and for promptly notifying us of any suspected compromise.

9. Retention

We retain Personal Information for as long as needed to provide the services and to achieve the purposes described in this Privacy Policy. Conversation logs for AI features are retained until you delete them or close your account, subject to legal retention obligations. We may retain limited information for fraud prevention, auditing, legal compliance, and legitimate business purposes. When information is no longer needed, we will delete it or de identify it in a manner designed to prevent re identification.

10. Your choices and rights

Marketing communications. You may opt out of marketing emails by using the unsubscribe link in the email or by contacting us. We will continue to send transactional or service messages that are necessary for your account.

Cookies. You can manage cookies through your browser. Some cookies are required for the site to function. If you block necessary cookies, certain features may not be available.

Model training. You may request that your content and logs not be used for model training. Contact us to exercise this choice.

Access and correction. You can request access to the Personal Information we hold about you and request corrections. We will respond as required by law.

Deletion. You can request deletion of Personal Information, subject to legal requirements and permitted exceptions.

Complaints. You can contact us with concerns. You may also lodge a complaint with your local privacy regulator.

United Kingdom and European Economic Area

For UK and EU residents, StrategyBrain Technology Ltd. is the controller of your personal data when we determine the purposes and means of processing. We process personal data on the legal bases described above. You have the following rights under the GDPR or applicable member state laws in certain circumstances.

12. LinkedIn related processing

AI Recruiter and AI Sales Rep process LinkedIn information in order to help clients recruit and market to prospects. Clients may submit LinkedIn profile URLs. With the client’s authorization, our services may retrieve publicly available profile information and may access additional profile data through the client’s LinkedIn account permissions where permitted by law and by the LinkedIn platform terms. We use names, roles, education, skills, and other professional details to generate personalized outreach messages, summaries, and recommendations. We store related conversation logs for the period described in the Retention section. Clients are responsible for ensuring that their use of LinkedIn data complies with platform terms and with applicable laws that govern consent and outreach.

13. Children’s privacy

Our services are intended for business users. We do not knowingly collect Personal Information from children under the age required by applicable law. If you believe a child has provided Personal Information to us, contact us so that we can take appropriate steps.

14. Access and accuracy

You can request access to Personal Information that we hold about you and request that we correct, update, delete, or add to the information. We will respond within the time period required by law. In some cases we may not be able to provide access to certain information, for example where doing so would reveal Personal Information of another individual or where restricted by law. We will provide reasons for any refusal.

15. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will post a notice on our website and will indicate the date of the latest update at the top of this page. Non material changes take effect when posted. Material changes take effect thirty days after posting unless a different date is stated. Your continued use of the websites or services after the effective date of changes signifies your acceptance of the updated Privacy Policy.
