Assistant to the VP Shared Service Center
Salary: 8.000 - 10.000zl gross
Location: ul. Opolska, Kraków
Working Hours: 8:00-16:00 or 9:00-17:00

You will be joining a fast growing global organisation that delivers innovative solutions in the energy and technology sector. The company is growing since mid-2025 an international Shared Service Center supporting business units worldwide with plans for around 120 FTE’s. Key Responsibilities:
- Provide direct daily support to the VP SSC. Prepare materials, ensure follow up on key actions, manage information flow and keep priorities aligned across the center.
- Coordinate internal communication and prepare presentations, including regular updates to the SSC organisational structure.
- Organise and support leadership team meetings. Prepare agendas and minutes, monitor actions and ensure timely execution.
- Support small operational projects led by the VP SSC. Assist in internal initiatives, process improvements and ad hoc assignments.
- Act as the main coordination point for administrative and operational matters, ensuring smooth daily functioning of the SSC.
- Coordinate and host internal and external guests. Ensure professional visit arrangements and a high quality experience.
- Provide comprehensive office administration support. Manage distribution lists and shared inboxes, maintain documents and visual management, coordinate parking and assist with technical office matters.
- Serve as the first contact point for employee queries. Help resolve issues, communicate effectively and maintain a positive employee experience.
- Manage office purchasing activities. Create purchase requisitions and goods receipts and verify invoices.
- Support event organisation including planning, logistics and coordination.
Key Requirements:
- Minimum 3 years of experience in a similar role within a company of comparable size.
- Fluent English. German would be an advantage.
- Strong communication skills both written and verbal.
- High energy and proactive attitude. Ability to prioritise and manage several topics at once.
- Strong organisational skills and the ability to collaborate effectively with senior stakeholders.
- Creative problem solving mindset.
- Ability to stay calm and effective under pressure.
